This is an exciting role for an experienced Office Manager. The role is varied office manager role with elements of HR, IT, accounts and executive assistance. This is an excting opportunity to work for an interesting asset management company.
Responsibilities:
HR – Process and store all new employee documents: • Employment agreements • Benefits enrollment forms • Employee Handbook
IT – Coordinate with IT service providers to build the IT infrastructure • Facilitate the IT support and maintenance • Work with vendors when the company faces technical difficulties including printer issues, fax machine malfunctions, etc.
Finance/Accounting – maintain the books and records for the office • Process payroll • Prepare invoices to bill clients • Pay bills and process employee out of pocket expense reimbursements • Book related accounting entries • Obtain required insurance policies for the office • Fulfill local tax requirements • Coordinate Local Year End Audit with Audit Team • Maintain and file all regulatory and compliance documents
Executive Assistant Functions • Track employee out of pocket expenses • Schedule and coordinate client meetings and travel for bankers • Answer phone and record messages • Monitor supplies inventory and order as needed • Maintain and update our CRM system will relevant notes from meeting and calls
Qualifications • At least 3 years experience as an Office Manager • Excellent computer skills and proficient in excel, word, outlook, and powerpoint • Excellent communication skills both verbal and written • Basic understanding of accounting and bookkeeping • Independent, motivated and hardworking • Knowledge and experience in organizational effectiveness and operations management implementing best practices • Demonstrate leadership and ability to manage office operations
• Excellent interpersonal skills • Budget development and oversight experience • A demonstrated commitment to high professional ethical standards • Knowledge of tax and other compliance requirements of a financial advisor • Excels at operating in an fast pace, community environment with constant change and diverse responsibilities
